Privacy Policy
Overview
ScholaPlan is operated by Benaco Edutech Ltd. ("we", "us", "our"), a company registered in England and Wales (No. 16645737). We take your privacy seriously. This policy explains what personal data we collect, why we collect it, and how we use and protect it. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
What Information We Collect
We aim to collect only the minimum personal data needed to provide the service. When you create a ScholaPlan account, the only required piece of information is your email address. You may also choose to provide your name, school name, and country. Beyond registration, we may collect personal information when you contact our support team, and we may keep records of those communications in order to respond to your query and improve our service.
We also automatically collect certain technical data when you use the service, including your IP address, browser type, device type, and usage activity. This is used to maintain and improve the service and is not used to identify you personally.
Cookies
We use cookies — small text files stored by your browser — to keep you logged in and to make the service function correctly. We do not use cookies for advertising or tracking across other websites. Most browsers accept cookies by default, but you can configure your browser to refuse them. Note that disabling cookies will prevent you from logging in to ScholaPlan.
How We Use Your Information
We use the personal data you provide solely to operate and improve ScholaPlan. Specifically, we use it to:
- Create and manage your account
- Provide the lesson planning features of the service
- Send transactional emails such as password resets and account notifications
- Respond to support requests
- Understand how the service is used so we can improve it
We will not use your data for any purpose unrelated to providing the service without your explicit consent.
Legal Basis for Processing
Under UK GDPR, we process your personal data on the following legal bases:
- Contract — processing necessary to provide the service you have signed up for
- Legitimate interests — for example, improving the service and preventing fraud
- Legal obligation — where we are required by law to retain or disclose data
Who We Share Your Information With
We do not sell or rent your personal data to anyone. We may share data with trusted third-party service providers who help us operate the service (for example, hosting providers and payment processors). These providers are contractually required to handle your data securely and only for the purposes we specify.
We may also disclose personal data where we are legally required to do so, or where we have a good-faith belief that disclosure is necessary to protect the rights, property, or safety of ScholaPlan, our users, or the public.
If ScholaPlan is ever involved in a merger, acquisition, or sale of assets, we will notify affected users before their personal data is transferred and becomes subject to a different privacy policy.
Your Rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct inaccurate or incomplete data
- Erasure — ask us to delete your personal data
- Portability — receive your data in a structured, machine-readable format
- Object — object to certain types of processing, including marketing
- Restriction — ask us to restrict how we use your data in certain circumstances
To exercise any of these rights, email us at support@scholaplan.com. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
Updating or Deleting Your Data
You can update your account details at any time from your account settings. If you wish to have your account and all associated data permanently deleted, contact us at support@scholaplan.com and we will remove your information from our systems.
Security
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. These include encrypted connections (HTTPS), password-protected accounts, access controls that limit who within our team can access personal data, and regular backups.
Your account is protected by the password you choose. You should use a strong, unique password and sign out of ScholaPlan when using a shared or public device. If you forget your password, use the Forgot Password link on the login page. For any other account access issues, contact us at support@scholaplan.com.
Data Retention
We retain your personal data for as long as your account is active or as needed to provide the service. If your account is inactive for an extended period, we may delete it after giving reasonable notice. You may also request deletion at any time as described above.
Children's Privacy
ScholaPlan accounts are for teachers and educators aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by a prominent notice within the service. Continued use of ScholaPlan after changes take effect constitutes acceptance of the updated policy.
